Private Aviation Moves Fast. Your Documents Should Too.

How Remote Online Notarization Can Support Aircraft Transactions, Aviation Professionals & Private Travelers

In private aviation, location is rarely simple.

An aircraft may be in a hangar in Tampa while the buyer is in New York, the seller is traveling in California, and the attorneys and other professionals coordinating the transaction are somewhere else entirely.

When a document requires notarization, bringing everyone into the same room shouldn't be the part that slows things down.

As a Florida Remote Online Notary based in the Tampa Bay area, I help attorneys, aviation professionals, businesses, and private clients complete eligible notarizations remotely — without requiring the signer to be physically located in Florida.

Where Can Remote Notarization Fit Into an Aircraft Transaction?

Aircraft purchases and sales can involve far more than exchanging an aircraft and a set of keys. Depending on the transaction, there may be purchase documents, financing and security documents, entity documentation, affidavits, powers of attorney, releases, and other closing-related paperwork.

The FAA itself maintains forms covering aircraft bills of sale, registration, security agreements, ownership affidavits, and other aircraft transactions.

Importantly, not every aviation or FAA document requires notarization. For example, the current FAA Aircraft Bill of Sale, AC Form 8050-2, permits ink or digital signatures and does not make notarization a universal FAA recording requirement.

But when an attorney, lender, escrow professional, government authority, or receiving party does require a signature to be notarized, Remote Online Notarization can eliminate one more logistical hurdle from an already complex transaction.

Aircraft Sales & Acquisitions

A high-value aircraft transaction may involve parties in several states — or several countries.

If an eligible supporting or transaction document requires notarization, RON can allow the signer to meet with a commissioned Florida online notary through a secure audio-video platform rather than searching for a local notary or rearranging travel plans.

For brokers, aviation attorneys, escrow professionals, and their clients, that can mean one less moving piece at closing.

Financing, Entity & Supporting Documents

Aircraft transactions may also involve financing, security interests, LLCs, corporations, trusts, and other ownership structures.

Depending on the transaction and instructions from the professionals handling it, notarization may be requested for supporting affidavits, powers of attorney, authorizations, entity documents, releases, or other agreements.

My role isn't to determine which documents a transaction requires or provide legal advice. My role is much simpler:

When you've determined a document needs to be notarized, I make getting that notarization completed remotely as seamless as possible.

Powers of Attorney & Authorized Signers

Aviation transactions don't always happen while every decision-maker is conveniently sitting at a desk.

The FAA recognizes circumstances involving powers of attorney and other signature authority in aircraft registration and recordation processes. When the applicable power of attorney or another authorization document itself requires notarization, RON may provide an efficient option for an eligible signer who is away from home, traveling for business, or simply in another state.

Private Aviation Isn't Just About the Aircraft

Sometimes the document that needs attention has nothing to do with the plane itself.

It's about who's getting on it.

Traveling Internationally With a Minor?

For private clients traveling internationally with children, minor travel consent documents are another area where notarization may become important.

The U.S. Department of State advises that some countries require a signed and notarized consent letter from a non-traveling parent when a child is traveling with only one parent. Some destinations may also require notarized written permission when a child travels alone or with someone who is not a parent or legal guardian.

Requirements vary by destination, so families should always confirm the specific entry and exit requirements for the country they're visiting.

When notarization is required, RON can be especially useful for families whose schedules don't leave much room for an extra appointment before departure.

One parent in Tampa.
One already in New York.
A flight leaving tomorrow.

The notarization doesn't necessarily need to become another trip across town.

Tampa-Based. Remote by Design.

I'm based in the Tampa Bay area of Florida — a market with a thriving community of private aircraft owners, aviation businesses, executives, attorneys, and professionals.

But Remote Online Notarization allows my office to travel much farther than I do.

Eligible signers can connect with me online from across the United States and, in many circumstances, while abroad, subject to Florida law, the requirements of the receiving party, and the capabilities of the RON platform being used.

That makes RON particularly well suited to an industry where people, assets, and advisors are rarely all in the same place.
